⚙️ Personalization Settings

The Personalization Settings dialog opens by clicking the gear button ⚙️ at the top of the count screen. Every setting can be changed in real time – all are saved automatically to the personal user account.

💡 For Managers: The "Save for All Employees" button applies the current settings to all employee accounts simultaneously – useful before a large count to ensure consistency.

⚠️ Save for All Employees replaces the personal settings of every employee with no option to restore.

The dialog is divided into 4 tabs (Accordion panels), each with a clear topic. Click on the tab title to open/close it.

📡 Tab 1 – Scanning Settings

Everything related to how barcodes/item identifiers are entered and processed.

📷 Scan with Camera

  • On: The smartphone camera is active for real-time barcode scanning.
  • Off: Use an external scanner (Bluetooth/USB) or manual entry only.

⚠️ QR Code and UPC-A Normalization settings are shown only when camera is enabled.

📲 QR Code Scanning

Visible only when camera is enabled

  • On: The camera also detects QR codes in addition to 1D barcodes.
  • Off: Barcodes only (faster for stores without QR codes).

🔢 Show Quantity Window After Scan

  • On: After every scan a quantity entry window opens (enlarged number keypad).
  • Off: Quantity 1 is recorded automatically; can be changed manually later.

💡 Useful when counting products with varying quantities – cartons, crates, large packages.

⚠️ Discrete Quantity, Maximum Quantity Threshold and Minimum Quantity Threshold settings are shown only when the quantity window is enabled.

🔢 Discrete Quantity

Visible only when quantity window is enabled

  • On: In the quantity window, a "Discrete quantity" field will be shown allowing quantity detail at the unit level.
  • Useful when counting both by carton and by individual units.

🔢 Maximum Quantity Threshold

Visible only when quantity window is enabled

  • Set a threshold number (e.g. 99) – if the entered quantity is above the threshold, a warning appears.
  • Protects against typing errors (e.g. 1000 instead of 10).
  • Leave empty = no limit.

🔢 Minimum Quantity Threshold (Negative)

Visible only when quantity window is enabled

  • Set a negative value (e.g. -10) – warning if quantity is below the threshold.
  • Relevant when working in "Subtract from Inventory" mode.

🔁 Barcode Transformation Rules

Allows defining rules that modify the scanned barcode before the system searches for it in the catalog.

Activation: Check the "Enable Barcode Transformation Rules" toggle.

  • You can set multiple rules in sequential order – executed top to bottom.
  • Instant preview – enter an example barcode and see the result before saving.
  • Each rule can be removed with the trash 🗑️ button.

Practical example: ERP saved 12345, but the label shows 12345000X (9 digits). Rule "Remove 4 characters from end" will turn 12345000X into 12345 – and the item will be found.

🏷️ Fixed Prefix for Item Identifier

  • On: You can define a fixed prefix to be added to every barcode scanned.
  • Useful when the catalog contains barcodes with a fixed prefix not shown on product labels.

🧹 Remove Spaces from Item Identifier

Found in the count settings tab

  • On: Spaces are automatically removed from the barcode before searching.
  • Useful when certain barcode scanners add a space at the end.

📅 Additional Fields in Scan Card

Additional fields can be activated to appear in the quantity window / item card:

🖼️ Scan Card Display

Choose which fields are displayed in the item card in the count list. Multiple fields can be selected:

💡 Remove irrelevant fields for a cleaner and faster interface.

📊 Tab 2 – Count Settings

Settings related to the counting behavior itself – duplicates, count modes, special barcodes.

⚠️ This entire tab is hidden in order collection mode and order creation mode.

🚨 Duplicate Count Warning

  • On: A warning is displayed when scanning an item that has already been counted in the same count.
  • Useful for preventing double-counting of the same product.

➕➖ Count Mode – Add / Subtract

  • "Add to Inventory" (default): Every scan increases the quantity.
  • "Subtract from Inventory": Every scan decreases the quantity – suitable for recording stock outflows.

💡 You can switch between modes during an active count without data loss.

⚠️ This setting is locked when Loan/Return mode is active.

🔍 Show Similar Items List

  • On: When an identifier is not found, the system shows a list of similar items for selection.
  • Off: Only a "item not found" message is shown.

⚡ Auto-Select the Most Similar Item

  • On: If a single match with a high score is found – the system will select it automatically without additional clicking.
  • Reduces manual clicks when most scans are identified.

🔤 Search by Name Only

  • On: When searching by typing – item name only is searched.
  • Off: Search across all fields: name, item code, barcode, supplier, category.

✂️ Shortened Barcodes

  • On: The system attempts to match partial barcodes to the catalog (e.g. catalog saved with 6 digits, scanned barcode is 13 digits).
  • Useful when the ERP system saved short barcodes only.

🏷️ Danacode Format Support

  • On: The system automatically recognizes and normalizes Danacode barcodes during scanning.

🔢 UPC-A Normalization

  • On: EAN-13 (13 digits) barcode is automatically converted to UPC-A (12 digits) before searching.
  • Resolves mismatches when the ERP saved a UPC-A barcode but the product has an EAN-13 label.

📲 Hide Keyboard Button During Scanning

  • On: A "Hide Keyboard" button is displayed next to the scan field – allows hiding the virtual keyboard for a more comfortable view.
  • Useful on devices with a large virtual keyboard that covers the count list.

⌨️ Hide Virtual Keyboard When Editing Quantity

  • On: When opening the quantity editing window, the virtual keyboard is automatically hidden.
  • Frees up screen space so the count list is more visible.

📍 Tab 3 – Location Settings

All settings related to scanning with assignment to physical locations (shelves, departments, rows).

⚠️ This entire tab is hidden in order collection mode and order creation mode.

📍 Enable Locations

  • On: A "Location" field is displayed at the top of the count screen. Every item scanned will be associated with the current location.
  • Off: Counting without location assignment.

All other settings in this tab are shown only when locations are enabled.

⚠️ Warning for Empty Location Field

  • On: If scanning an item without a selected location, a warning appears (and it won't be added without explicit confirmation).
  • Useful for enforcing organized work by locations.

🔒 Warning for Location Marked as "Completed"

  • On: If trying to scan in a location marked as "completed" – a warning is displayed.
  • Protects against double-counting of the same department.

👥 Warning for Location Counted by Another User

  • On: If entering a location that another user has already finished – a warning is shown.
  • Useful in group counting to distribute loads and prevent duplication.

❓ Warning for Location Not in List

  • On: If entering a location name not in the predefined list – a warning is shown.
  • Useful for enforcing precise names.

🗺️ Warning for Location Mismatch

  • On: If in the catalog the item is assigned to a different location than the current one – a message is shown.
  • Helps identify items that are "in the wrong place".

🚫 Block Addition After Location Warning

  • On: When one of the location warnings appears, the item will not be added without explicit confirmation.
  • Off: The item is added even after the warning.

⚙️ Tab 4 – System Modes

Special modes that change the behavior of the entire count screen.

⚠️ This entire tab is hidden in order collection mode and order creation mode.

🆕 New Items Only Mode (Item Catalog Creation Mode)

  • On: Only items not in the catalog can be scanned – existing items won't be added. When an unknown barcode is scanned, you can fill in the item details and add it to the catalog.
  • Useful for manually building a new catalog or finding missing items.

⚠️ This mode is locked when Loan/Return mode is active (the two modes are incompatible).

  • On: When scanning an unrecognized barcode, an option "Link to Existing Item" is shown – you can link the new barcode to an item already in the catalog.
  • Useful when the same product has multiple different barcodes.

⚠️ This mode is locked when Loan/Return mode is active.

🔄 Loan/Return Mode

  • On: The count screen switches to Loan/Return mode – every scan is recorded as an equipment movement.
  • A borrower and direction (Loan / Return) must be selected before each scan.

⚠️ Activating this mode automatically disables the "Add/Subtract" and "New Items Only" modes.

🎯 Count Goal (Count Scope)

A Count Goal allows counting according to a predefined item list instead of free counting.

The progress card appears automatically at the top of the counter page (no manual activation in settings needed). In the card, choose from a dropdown which goal to track – the system shows how many items were counted, how many are missing, and completion percentage in real time.

Goal management (create, edit, delete, bulk create) is done from: Branch Management → click "🎯 Count Goals" button in the relevant branch row.

💾 Saving Settings
