๐Ÿงพ Company Details โ€‹

The Company Details page centralizes all organizational and accounting information about the account โ€“ who you are, how you appear in documents/invoices, how to contact you, and the activity status of your users during a selected period. This is the place to update details "once and correctly" โ€“ and the entire system will align accordingly.

๐Ÿ How to Access โ€‹

  • On phone: โ˜ฐ at the top right โ†’ Company Details.
  • On computer: Hover over the menu on the left โ†’ Company Details.

๐Ÿง  What's on the Page (General Structure) โ€‹

  1. Identity & Status Cards โ€“ system information: company name, license status, internal company ID, account creation date.
  2. Billing & Tax Details โ€“ name to appear on invoices/receipts, business/tax number, billing address, email for receiving documents.
  3. User & Scan Activity Summary โ€“ brief analytics for 7/14/30 days + detail table per user.

๐Ÿ” Editing is available to system administrators only. Regular users will see the information but cannot change it.

๐Ÿชช Identity & Status Cards โ€‹

In the top bar you'll see:

  • Company Name โ€“ how you appear in official places in the system.
  • License Status โ€“ whether the account is currently active.
  • Company ID โ€“ OpticCount's internal identifier (useful when contacting support).
  • Created On Date โ€“ when the account was set up.

๐Ÿ’ก Tip: When contacting support โ€“ mention the company name and company ID; this speeds up handling.

๐Ÿงพ Billing & Tax Details (with โœ๏ธ to Edit) โ€‹

Here you set how your documents will look and where they are sent:

  • Billing Name (Invoices/Receipts): e.g. the official corporate name. Recommended to align with accounting โ€“ this is the text that will appear on documents.
  • Business/Tax Number: The identifying number for tax purposes. Enter in the exact format you use for reporting.
  • Business/Billing Address: Appears on documents.
  • Email for Receiving Documents: Receipts/invoices and billing notifications are sent here.

โ„น๏ธ Updating fields affects documents going forward. Documents already issued remain as they were issued.

๐Ÿ’ก Tip: Set a distribution address here (e.g. billing@โ€ฆ that routes to multiple recipients). This prevents misses during busy periods.

๐Ÿ“Š User & Scan Activity Summary โ€‹

An analytics block that gives a snapshot of system usage:

Period Selection โ€‹

Quick selection buttons: 7 days, 14 days, 30 days.

Metric Cards โ€‹

  • Average scans per day โ€“ how many scans are performed per day on average in the selected period.
  • Active users โ€“ how many employees were active in the period out of all users.
  • Total scans in period โ€“ total scans performed.

User Detail Table โ€‹

Typical columns:

  • Username | Phone | Permission
  • Total Scans โ€“ how many scans the user made in the period.
  • Active Days โ€“ how many different days they were active (even a day with one scan counts as active).
  • Average per Day โ€“ total scans / active days.
  • Last Scan โ€“ date of last action.

Why Does This Matter? โ€‹

  • Identify who works and when โ€“ easy to spot who needs reinforcement/training.
  • Examine workloads โ€“ understand where to add staff.
  • Track system adoption โ€“ see if a new rollout "took".

Example: If user A has many "active days" but a low "average per day", they may be doing many spot checks. User B has few days but a high "average per day" โ€“ they probably count intensively in long sessions. Plan staffing accordingly.

Recommended when you need to:

  • Set up a new account (onboarding) โ€“ configure tax, address, and billing email.
  • Before a quarter/organizational count โ€“ check activity and adoption.
  • Cross-check billing data/documents โ€“ verify name and identifying number are correct.

Less relevant:

  • For historical changes to documents already issued (name/number will only change for new documents).

  • Billing name different from the official name โ€“ may cause inconsistency with accounting/banks.
  • Leaving the business/tax number empty or outdated โ€“ creates unnecessary corrections with the accountant.

  • Assign one responsible role for this page (accounting manager/operations manager).
  • After changing billing details โ€“ perform a document test (generate a sample receipt/invoice) to verify display.
