๐๏ธโ๐จ๏ธ Overview โ

The Overview page is an operational dashboard that gives the business manager a concentrated snapshot of what's happening in the count โ on one screen, conveniently. It's important and informative. Here you look from above: how much was counted, what is the value of the counted inventory, who worked and how much they contributed, and what is the scan rate over time.
๐ง What the Page Does โ
- Displays aggregate data at the business/selected store level: Metrics (number of items in catalog, scans performed, items counted), value in cost/selling terms, list of active users and their contribution, and the count rate graph.
- Enables real-time tracking: data updates continuously while work is in progress.
- Intended primarily for the main user (manager). Employee accounts do not have access to this page.
๐ How to Access and What to Choose โ
- On phone (Mobile): Click the menu button โฐ at the top right โ select Overview.
- On computer (Desktop): Hover over the menu on the left side โ click Overview.
After entering the page, select at the top a specific store from the list or Merge All Stores to view aggregate data.
๐งฉ Page Components and What Each Shows โ
1) ๐ฆ Top Metric Cards โ
- Items in Catalog โ total number of items registered in the business catalog.
- Scans Performed โ number of scan actions performed (including repeated scans of the same item).
- Items Counted โ total sum of all scans of all products.
๐ก Precision and Understanding
- "Scans" = scan events. "Items counted" = logical deduplication of items.
- If a scan was deleted โ it is not counted. If a subtraction (stock removal) was performed โ it is counted as a work event and will affect quantities and amounts accordingly.
2) ๐ฐ Financial Cards โ
- Total Cost Price โ sum of (quantity counted for item ร cost price from catalog).
- Total Selling Price โ sum of (quantity counted for item ร selling price from catalog).
๐งพ Important Calculation Rules
- Items without a defined price in the catalog are counted by quantity, but contribute 0 to the total.
- The amount displayed represents the value of what was actually counted โ not ERP balances.
๐ก Management Tip: If the selling total seems "too low", most likely some items are missing selling prices. Go to Item Catalog and complete the prices โ the screen will update accordingly.
3) ๐ฅ User List and Contributions โ
See who counted and how much they contributed of the total work:
- Name and avatar of each active user.
- Quantity counted by the user.
- Contribution percentage of total work (in the same store/merged).
๐งฉ Management Uses
- Identifying bottlenecks: if one user holds most of the scans โ tasks may need redistribution.
- Soft monitoring: see who "dropped off" from the pace and who needs assistance/guidance.
4) ๐ "Count Rate" Graph โ
The graph shows the distribution of scans along a time axis: peaks, drops, and strong vs. weak hours/days. What you learn from it:
- Work peaks โ when the team is pushing.
- Dead windows โ when reinforcement/method change would help.
- Internal comparison โ before/after a process change (e.g. opening a new area/location).
๐ก Work Tip: Saw a drop in pace? Go to Recent Inventory Counts and check if there are many warnings or stuck items (without catalog/prices).
๐ฏ When to Use the Overview Page โ
Especially recommended when:
- You want a live pulse of the counting project in real time.
- You want an initial value estimate of what has already been counted (cost/selling).
- Managing multiple stores and want a concentrated picture (merge all stores).
Less suitable when:
- You need to fix/delete/edit a count โ do that in Recent Inventory Counts.
- You need to organize, merge, or clean locations โ that's in Location Management.
- You need to complete prices/item data โ that's in Item Catalog Management.
โ Advantages of the Page โ
- Holistic view: everything a manager needs on one screen.
- Decision-driven display: easy to identify where professional attention is needed right now.
- Cross-store functionality: instant switch between a single store and merged view.
- Motivation and transparency: measuring individual contribution creates accountability and collaboration.
๐งฏ Common Issues and Solutions โ
- Numbers are "frozen": A quick screen refresh usually resolves this. If not โ go to "Recent Inventory Counts" to check if there are pending/erroneous scans.
- Money totals = 0: Cost/selling prices are missing in the catalog for counted items. Complete prices in the item catalog.
- User "disappeared" from list: They probably haven't counted anything yet in the current store.
- Sharp gap between 'scans' and 'items counted': Many repeated scans for the same items โ review workflow and configure warnings/locations as needed.
