The License & Purchases Management page centralizes everything related to your subscription, current plan, past purchases, and upgrades. From here you can see how much you've used, what remains, how many users are allowed to work simultaneously โ€“ and perform a purchase/upgrade in a simple way.

๐Ÿ How to Access โ€‹

  • On phone: Click โ˜ฐ at the top right โ†’ License & Purchases.
  • On computer: Hover over the menu on the left โ†’ License & Purchases.

๐Ÿง  What You See at the Top โ€“ "My Plan" โ€‹

A clear status card with:

  • Subscription status (active/suspended etc.).
  • Total scan quota and remaining scans (a circular gauge showing usage percentage).
  • Number of concurrent active users allowed in the plan.
  • Expiration date of the subscription.
  • Number of barcode scanners purchased (if you purchased physical equipment through us โ€“ the counter will show it).

The Upgrade Plan button opens the upgrade/purchase process.

๐Ÿ’ก What counts as a "scan": Every barcode/code capture (including inventory in/out) in the system. The scan gauge helps understand when it's worth increasing the plan.

๐Ÿงฎ Pricing Method โ€“ Brief and Accurate โ€‹

OpticCount prices based on three main components:

  1. Scan quantity โ€“ how many scan events you need during the subscription period.
  2. Number of concurrent active users โ€“ how many counters can work simultaneously.
  3. Duration โ€“ purchase for a single month or full year.

Two ways to buy:

  • Ready-made plans (plan cards) โ€“ Basic / Small / Large / Enterprise. Each card includes an estimated scan quota and concurrent user limit, suitable for common needs.
  • Custom pricing calculator โ€“ manually choose your scan quota and number of concurrent users; price is calculated instantly. Available in monthly and yearly versions.

Important Terms โ€‹

License Validity Explanation โ€‹

License validity represents the time period during which you can use the system.

What can you do while the license is valid?

  • Everything! Use all system capabilities of course.
  • While the license is valid, you can upgrade the scan quantity and concurrent user count.
  • When upgrading one of the parameters, you get pricing from the lower point โ€“ the more you buy, the lower the price, fixed for the entire license validity period.
  • You can also upgrade the license validity, for example from a month to a year, and pay only the difference.

What happens when the license expires?

  • You can still log in to the system and view all your data, and even download the count summary file.
  • In any case, all data will not be deleted even after the license period ends.
  • All unused scans will reset.
  • The number of concurrent active users will reset.

Scan Quantity Explanation โ€‹

Scan quantity represents the number of times you can perform a scan in the system; scans can only be purchased in packages of 2,000 scans each. Scans can be used during the license validity period. The price per scan package decreases as you purchase more packages.

How is a scan counted?

  • Every scan of a product using a mobile barcode scanner, camera, or manual search counts as a scan.

What does NOT count as a scan?

  • Scans of products that don't exist in your item catalog.
  • A scan deleted within one minute of when the scan was made.
  • To allow a user to scan items one by one (without entering quantity after each scan), we count any consecutive scans of the same item by the same user at the same branch as a single scan only.

You can upgrade the scan quantity at any time during the current validity period and get pricing from the lower point.

Concurrent Active Users Explanation โ€‹

The number of concurrent active users refers to how many people can use the system simultaneously.

How does it work?

  • Every user who actually logs in and performs at least one scan occupies one slot from the concurrent user quota.
  • When a user logs out, or stops performing counts, their slot is released within a few minutes and allows another user to connect.
  • If all slots are taken, additional users will need to wait until an existing user logs out.
  • In any case even if all slots are taken, the main manager can log in to the system and perform management actions like downloading a count summary for example.

There is no limit on the total number of registered users in the system, only on how many can connect simultaneously โ€“ so a personal, named user account for every person who will use the system.

Clicking the button opens a selection screen:

  1. Choose billing method: Monthly subscription or Annual subscription.
  2. Choose plan: A ready-made plan (card) or switch to the custom pricing calculator:
    • In the calculator: slide the scan slider and type number of concurrent users โ†’ get an updated price in real time.
  3. Confirm and activate: After confirmation, the new plan goes into effect and the status in the "My Plan" card updates.

Note: If you're in the middle of a count and approaching the limit โ€“ recommended to upgrade before reaching 100% to avoid work stoppages.

A bottom table that consolidates every purchase made: Start date, validity duration, number of scans purchased, number of concurrent users, payment status, and whether the subscription is active. Excellent for financial control and cross-referencing usage against purchases.

๐Ÿงฉ When to Choose What? (Practical Guide) โ€‹

  • One-time event / seasonal inventory โ†’ Monthly subscription with the calculator: set the required scan quantity and number of simultaneous workers.
  • Ongoing counts throughout the year / multiple branches simultaneously โ†’ Annual subscription or a higher-tier ready-made plan.
  • Changing team with occasional peaks โ†’ Start with a small plan + use the calculator for fine adjustments when needed.
  • Organization with many workstations โ†’ "Enterprise" plan or custom; the emphasis is on concurrent user limit.

  • 80%+ utilization: Check work forecast for the coming week/month โ€“ you may want to increase the quota.
  • Sharp spikes: Usually a concentrated count day; consider a temporary upgrade (single month) instead of an annual jump.

  • Small business with end-of-month count: Chooses monthly subscription, sets a low scan slider and one concurrent user โ€“ gets a focused price.

  • Budget prioritization: In rotating teams, sometimes it's better to increase the concurrent user count and maintain a comfortable scan quota โ€“ work time is shortened.
  • Internal transparency: Share the "My Plan" card at the start of the week โ€“ everyone sees how much remains and what the target is.
  • Scanning equipment: The "barcode scanners purchased" counter is informational; you can work with mobile phones too. Choose what's convenient for the team.

  • If the upgrade isn't reflected in the "My Plan" card.
  • If utilization appears unusual relative to actual work.
  • If you need a dedicated pricing structure (e.g. a large multi-site project in a short time).
