๐Ÿ”Œ My Integrations โ€‹

The My Integrations page connects OpticCount to your external systems โ€“ to import information (catalog, branches, users), and to export results (count summary in a file/API) in the format that the ERP or online store expects to receive. In addition, there are "operational" integrations like WhatsApp for smart alerts (expirations, low inventory, license, etc.).

๐Ÿ How to Access โ€‹

  • On phone: โ˜ฐ at the top right โ†’ Integrations.
  • On computer: Hover over the menu on the left โ†’ Integrations.

What You See on the Page โ€‹

  • List of integrations configured in the account: system name (with its icon), note, active/inactive status, and an Edit button for each integration.
  • At the top: โž• Add New Integration (green) โ€“ opens a setup wizard.

๐Ÿ’ก An "active" integration immediately affects other pages. For example: if an ERP integration with catalog import support is activated โ€“ the "Import Catalog" button will appear in the Item Catalog, which loads data live from the external system.

โœจ Why This Matters โ€“ Main Uses โ€‹

  • Smart import: Item catalog, branch list, users โ€“ without manual files.
  • ERP-adapted export: Count summary files in your system's exact format โ€“ saves conversions and import errors.
  • Automatic alerts: WhatsApp for upcoming expirations, low inventory, or operational events.
  • Dynamic and online operation: Less Excel files, more direct flow.

๐Ÿ› ๏ธ Editing an Integration โ€“ What It Looks Like โ€‹

Clicking Edit opens a dedicated settings dialog for each integration. Common examples:

๐ŸŸข WhatsApp Integration โ€‹

  • Phone numbers for receiving messages (multiple can be entered).
  • Triggers:
    • Low inventory alert (ON/OFF).
    • Daily expiration report (ON/OFF) + days before expiration field (e.g. 3).
  • Internal note (optional).
  • Save Changes / Delete Integration / Close Without Saving.

๐Ÿ’ก Recommended to enter numbers in international format (e.g. +972...). Start with daily expiration report to "catch" problems before they reach the shelf.

๐ŸŸฃ Priority (ERP) Integration โ€‹

  • API address of the server.
  • Personal access token / username and password (depending on your implementation).
  • Active (toggle).
  • After saving: import/export actions on relevant pages will work in your Priority format.

๐ŸŸฉ Shopify / ๐ŸŸฆ Wix / โš™๏ธ Hashavshevet / ๐Ÿง  Bina and more โ€‹

  • Basic connection fields (token/key/domain) and Active status.
  • Once the connection is active โ€“ import catalog/branches/users buttons or exports will be integrated in the appropriate places in the system.

๐ŸŸ  Boss ERP Integration โ€‹

  • Import catalog from Boss directly into OpticCount.
  • Real-time inventory sync โ€“ after counting, inventory in Boss can be updated automatically.
  • Import suppliers โ€“ supplier list is pulled directly from Boss.
  • Configuration fields: API address, access token, Active status.

๐ŸŸค Minisoft / Bina Code Integration โ€‹

  • Export count summary file in Minisoft format.
  • Minisoft export settings โ€“ custom configuration including field mappings specific to this format.
  • Configuration fields: connection parameters, export format settings, Active status.

  • Import catalog from Nesher Tevel.
  • Export count summary in a custom format.
  • Configuration fields: connection parameters, Active status.

  • Export count summary file in DAT format specific to the Yarpa platform.
  • Enables direct import in Yarpa without manual processing.

๐Ÿ”ถ One ERP / One ERP Advanced Integration โ€‹

  • Export count summary in One ERP format.
  • One ERP Advanced โ€“ extended support for processing and export including similar item merging.
  • Configuration fields: connection parameters, Active status.

๐Ÿ›’ Wix eCommerce โ€“ Order Import โ€‹

Beyond catalog import, the Wix integration also includes order management:

  • Order import โ€“ automatic and/or manual pulling of orders from the Wix store.
  • Scheduled sync โ€“ the system continuously pulls new orders from Wix.
  • Sync status โ€“ displayed on the management page (date and time of last sync).
  • Picking fulfillment โ€“ after performing collection, an order can be marked as "fulfilled" directly in Wix.
  • Filter by payment status โ€“ import orders in selected payment statuses only.

๐Ÿ’ก After configuring the Wix integration, the "Orders" tab in the management page will show imported orders and allow focused collection.

๐Ÿ”— Currently Supported Integrations โ€‹

  • ERP / Inventory Management: Priority, Hashavshevet, Bina, Boss, Minisoft, Nesher Tevel, Yarpa, One ERP / One ERP Advanced.
  • Online Store: Shopify, Wix (including order import).
  • Messaging & Alerts: WhatsApp.

The list is updated; some connections may be activated on request and in coordination with support.

Live Examples โ€‹

  1. Live catalog import from ERP Connect Priority โ†’ mark Active โ†’ in Item Catalog Management the "Import Catalog" button appears โ†’ clicking loads and updates data automatically.

  2. Expiration alerts via WhatsApp Enter 2โ€“3 manager numbers โ†’ enable daily expiration report and set 3 days before โ†’ every morning a consolidated list of items approaching expiration is received.

  3. ERP-adapted count summary export Configure the appropriate integration โ†’ in Recent Inventory Counts click "Export Count Summary Data File" โ†’ select the ERP format โ†’ get a file ready for import (without manual mapping).

  4. Import orders from Wix and focused collection Connect Wix eCommerce โ†’ the system pulls new orders automatically โ†’ in Orders Management select an order โ†’ go to the count page in collection mode โ†’ scan according to the order list โ†’ mark "fulfilled" โ†’ Wix updates.

  5. Update Boss inventory after count Connect Boss ERP โ†’ finish count โ†’ click "Export Data with Integration" โ†’ data passes directly to Boss and updates inventory balances.

When to Use / When Not to โ€‹

Recommended when:

  • You have an ERP/online store and want to work directly, without files.
  • It's important to receive immediate alerts (expiration/low inventory) to managers' phones.

Less suitable when:

  • You're in a pilot phase and want to first work "offline" with Excel. You can configure an integration later โ€“ it's not mandatory to start with it.

๐Ÿ” Security & Permissions โ€‹

  • Sensitive fields (tokens/passwords) are stored securely and accessible only to system administrators.
  • Recommended to use a dedicated integration user in external systems with the minimum required permissions.
  • If you lose control of a key โ€“ replace it both on the external system side and here.

โš ๏ธ Mistakes to Avoid โ€‹

  • Leaving an integration as inactive and expecting import/export to work. Make sure the toggle is active.
  • Entering an imprecise domain/URL โ†’ check protocol (https://) and correct API path.
  • Entering WhatsApp numbers without country code prefix โ†’ some messages won't arrive.
  • Not coordinating export format with the ERP โ†’ configure it once correctly and save headaches for every count.

๐Ÿ’ก Tips โ€‹

  • After connecting an ERP, perform a small import (10โ€“20 items) to test column mapping โ€“ then proceed to full import.
  • For alert integrations โ€“ start with low noise level (expirations) and only then add "low inventory" according to thresholds that work for you.
  • Save a note for each integration (e.g. "production server", "test environment") to prevent confusion between computers/teams.
